Order Configurations

The Order Configurations page is where you can manage all your order states, whether they are to be assigned to orders or have already been allocated. You can also create custom order states tailored to their workflows, which can then be mapped to existing systems or internal states.

To create the custom states within the Order Configurations page, you must have the "Portal Order Client State Management" role. To verify if you have this role, navigate to your profile, click Details, and review the Roles section.

The tick icon in the Being Used in System section indicates that the state has been allocated to an order and, therefore, cannot be edited. A dash signifies that the state is not currently in use and can be modified or deleted.

Adding a New Order State

  1. Click on the Add Status button to begin creating a new state.
  2. From the dropdown menu, choose the appropriate system or internal state that your custom state will be mapped to:
    • New: This is the initial state of an order upon receipt, marking the beginning of the order lifecycle. This can also be used to define states that represent all initial phases of order completion
    • Processing: Once an order moves beyond the new state, it enters processing, indicating that fulfillment actions are underway.
    • Fraud: In cases where suspicious activity is detected, an order may be flagged as potentially fraudulent for further investigation.
    • Suspended: This state temporarily halts an order's progress and is often used when additional verification or intervention is required.
  3. Click on the color icon to select a color that will represent your new state.
  4. Enter the name of your custom state in the Name Your Status tab.
  5. In the Description tab, type in a brief description that outlines the purpose of your new state.
  6. Once all details are filled in, click the Create States button to finalize the creation of your custom state.
  7. If you need to create more than one state at once, click the Add New button at the top of the Add States pop-up to add additional states in a single session.
